SolutionsPractice websites and digital front door

Make your website part of the front desk.

A patient's first contact with your practice may be a search result, your Google profile, or your website. ClinicalGTM designs, builds, and supports that front door so the information is accurate, the next step is clear, and requests are routed to a person on your staff.

You can engage us for the website alone or combine it with intake, documentation, and coding work. Combined, one partner is accountable from first click to coded note.

What we shape with you

  1. Website design and build: service pages, provider and location information, and a clear way to request an appointment.
  2. Online scheduling, connected where your practice-management system supports online booking. Where it does not, appointment requests go to a staff queue.
  3. A chat assistant that answers only from your practice's approved information, such as hours, location, services, and visit preparation.
  4. Google Business Profile setup and upkeep: hours, services, categories, and updates you approve.
  5. AI-search visibility: clear, accurate, well-structured pages that search engines and AI answer tools can read.
  6. Review requests sent to every patient after a visit, with HIPAA-conscious guidelines for responding to reviews.

Illustrative workflow

Search to staff follow-up

  1. Search result or Google profile, Patient
  2. Practice website, Patient
  3. Approved-answer chat assistant or online booking, System
  4. Staff request queue, Staff
  5. Post-visit review request to every patient, System

The assistant knows where to stop.

The chat assistant answers from information your practice has approved. It does not answer clinical or patient-specific questions. When a question needs a person, it takes the visitor's request and hands it to staff. If a visitor describes an urgent concern, it tells them to call 911 or go to the nearest emergency room.

We source and configure the assistant, the scheduling connection, and the review-request tool. Before any patient information is involved, we review each provider's data handling and the agreements your practice needs.

Ask every patient the same way.

We help you send every patient the same short review request after a visit. We do not filter requests to satisfied patients, offer anything in exchange for a review, or write reviews for anyone. Google's review policies prohibit these practices, and the FTC's consumer-review rule restricts fake and incentivized reviews.

Responses follow HIPAA-conscious guidelines. A reply never confirms that the reviewer is a patient and never discusses health information.

What we measure.

Search rankings, placement in AI answers, review counts, star ratings, and new-patient volume depend on factors outside our control. We do not promise them. Instead, we agree on measures you can check, such as listing accuracy, response time to requests, completed staff follow-up, and review requests sent.

Scheduling is connected where your practice-management system supports online booking; otherwise appointment requests route to staff. Rankings, AI-answer placement, and review volume are not promised.

Questions

Can an agent book appointments or answer calls?

Those functions can be explored as a scoped project. They depend on the phone, messaging, and scheduling services available, the access they permit, and agreed human handoff rules.

How do you handle patient information?

We define the data flow, access, retention, relevant agreements, and review responsibilities before patient information is used. Please do not send patient information through this website's contact form or ordinary inquiry email.

What does the free consultation include?

A 20-minute discussion of one workflow, your current process, and whether a deeper engagement makes sense. Detailed assessment, design, and implementation are separately scoped paid work.

Which part of the work needs to work better?

Bring one recurring problem to a no-cost introductory consultation. We will discuss your current process and whether a focused AI engagement makes sense.
