Where the work stalls

  • Questions from prospective members wait until someone is free to answer.
  • New members repeat their history on forms, by phone, and again at the first visit.
  • Member messages pile up between visits, and routine questions wait behind urgent ones.
  • Notes and visit summaries get written after hours, so follow-through depends on memory.

They expect a quick reply when they message, a smooth start when they join, and a doctor who remembers them. With a small team, the same people answer membership questions, onboard new members, return messages, and write notes. Every slow reply is felt by someone who chose you for the service.

Illustrative workflow. The final steps depend on your systems, permissions, and clinical review process.

Boundaries

  • Response times are your practice's promise to members. We build the workflow to support it and measure it with you.
  • The assistant answers only from information you have approved, such as tiers, what is included, and how to join. It gives no medical advice and hands clinical questions to your team.
  • If someone describes an urgent concern, the assistant tells them to call 911 or go to the nearest emergency room.
  • Every draft is approved by your doctor or staff before it is sent, including replies to members, notes, and visit summaries.
  • Texting, phone, and scheduling connect through services we source and set up, or through the systems you already use.

How the workflow runs

  1. Before someone joins, your website and Google Business Profile explain membership clearly. A chat assistant we set up answers questions about tiers, what is included, and how to enroll, at any hour. Interested patients reach your team with their questions attached, so the first reply can be quick and personal.

  2. Once they join, intake is collected once and organized into a profile your doctor reads before the first visit. Where your records system allows access, a short brief is prepared from the member's approved notes before each visit. Between visits, member messages are routed to the right person with a drafted reply for your staff or doctor to approve, so routine questions do not wait.

  3. During the visit, ambient capture drafts the note from templates your doctor approves, so attention stays on the member. After sign-off, a plain-language visit summary is prepared for the member, and any follow-up becomes a task with a named owner. You can start with one piece, such as membership inquiries or visit notes, and add the next once it is working.
