Who we helpIndependent Medical Practice

One workflow, from booked visit to finished task.

In a smaller practice, the same few people book visits, chase intake forms, finish notes, prepare referrals, and work the billing queue.

Where the work stalls

  • Patients arrive with intake forms still incomplete.
  • Notes wait until the end of the day, or later.
  • Referral letters and patient summaries are rewritten by hand from the note.
  • Tasks pass between people without a clear owner or due date.

Booked visit to owned task

  1. Website with online booking or appointment request, Patient
  2. Intake reminder, System
  3. Visit capture or dictation, Clinician
  4. Note draft, System
  5. Clinician approval, Clinician
  6. Referral and patient-summary drafts, System
  7. ICD-10 code suggestions for review, Staff
  8. Owned staff task, Staff

When one step slips, the next one waits. The tools you already use often handle one piece each, and the handoffs between them fall to your staff.

Illustrative workflow. The final steps depend on your systems, permissions, and clinical review process.

Boundaries

  • We assess what your EHR already does before recommending anything new.
  • Your EHR stays in place. We do not sell or install a new one.
  • Moving approved notes into the EHR uses a supported export, an assisted transfer, or custom integration where access is available.
  • Clinical decisions stay with your clinicians. Qualified staff review every draft and code suggestion before it is used.

How the workflow runs

  1. Patients book online where your practice-management system supports it, or their request goes to a staff queue. An intake reminder we set up asks them to complete forms before the visit.

  2. During the visit, the clinician uses ambient capture or dictation. A note draft is prepared in your structure, such as SOAP or H&P, from templates your clinicians approve. The approved note feeds referral letter and patient-summary drafts, plus ICD-10 code suggestions with supporting text for your coder or billing staff. Every output stays a draft until a person approves it, and each completed step creates a task with a named owner.

  3. You can start with one piece, such as online requests and intake reminders or note drafts for one visit type. Before we build, we look at your EHR, practice-management system, and phone setup. If a tool you already have does the job, we focus on getting it used well.
