Where the work stalls

  • Incoming orders arrive in different formats and need manual sorting and data entry.
  • Missing information on an order holds up authorization and scheduling.
  • Prior-authorization packets take staff time to assemble from scattered documents.
  • Signed reports must be matched to the correct referring provider.

Illustrative workflow

Incoming order to routed report

  1. Incoming order or referral by fax, portal, or email, System
  2. Organized for staff verification (fax intake and text recognition via additional services), Staff
  3. Prior-authorization packet draft, System
  4. Scheduling request, Staff
  5. Radiologist dictation with handheld microphone support, Clinician
  6. Report routed to the referring provider, System

Staff re-key details, chase what is missing, assemble prior-authorization paperwork, and call patients to schedule. Radiologists dictate reports that then need to reach the right referring provider. The work is routine, but each step waits on the one before it.

Illustrative workflow. The final steps depend on your systems, permissions, and clinical review process.

Boundaries

  • No image reading or interpretation. Your radiologists read every study.
  • Approval decisions always rest with the payer. Your staff submit prior authorizations from our packet drafts, or we can manage submission and payer follow-up for you if we agree to that in your engagement.
  • Fax intake and text recognition are delivered through additional services that we source and configure.
  • Code suggestions are ICD-10 diagnosis codes for coder review. Procedure-coding assistance is offered only where validated for your specialty.

How the workflow runs

  1. Orders arrive by fax, portal download, or email. They are organized into one view so staff can verify the patient, the study, and the referring provider. Missing items can be flagged so staff can contact the referring office. Portal downloads come through intake services we set up for your center.

  2. Once an order is verified, a prior-authorization packet draft is prepared for your team to review and send, or for us to manage if we agree to take that on. Radiologists dictate in a browser-based workspace with a supported handheld microphone, then review and sign. The signed report is routed to the referring provider through the connection your systems support, and ICD-10 code suggestions with the supporting text go to your coders.

  3. You can start with one piece, such as order intake for one referral source or the routing of signed reports, and add the next step once it is working. We assess your scheduling, reporting, and fax setup before promising any connection.
